NATURE OF -WORK:

This position performs a variety of estimating, administrative, and clerical functions in support of the Project Managers. Responsibilities include project management assistance, subcontractor relations, reporting, takeoffs, and correspondence.

Licenses or Certifications


  • As required by state and federal law
  • Valid driver license issued by the state in where employed


    QUALIFICATIONS - REQUIRED KNOWLEDGE, SKILLS, -AND -ABILITIES:


    • Minimum of two years of experience
    • Construction landscape services experience preferred.
    • General plant, irrigation, construction, and drainage knowledge.
    • General knowledge of material and labor costs.
    • Ability to read and understand blueprints and specifications.
    • Ability to prioritize job responsibilities.
    • Ability to analyze and solve problems.
    • Proficient in Microsoft Office and other applicable software is required
    • Ability to manage multiple assignments and projects independently and simultaneously
    • Must be detail oriented, organized, and customer service focused
    • Excellent oral and written communication skills
    • Have excellent phone and interpersonal skills
    • Ability to maintain confidentiality and assume responsibility to carry out all assignments in a proficient and professional manner
    • Ability to handle unexpected projects and a demonstrated willingness to help others
    • Bilingual a plus

      ESSENTIAL FUNCTIONS OF THE -JOB:


      • Support Project Managers.
      • Analyzes blueprints, specifications, and other documentation to prepare material lists.
      • Review, identify and detail revisions to project plans and specifications.
      • Process, document, quantify and manage communication for revisions, change orders, addendums, and new plans.
      • Track plan revisions / RFQ's and follow up on subcontractor pricing as required
      • Administer and file communications with general contractors and architects.
      • Copy and send plans and specifications to subcontractors as required.
      • Process, send out, and track quote requests for site furnishings, subcontractors, plant materials.
      • Assist in communication of project information to field superintendents as required
      • Review and be familiar with contracts, plans & scope of work on assigned projects
      • Maintain RFI & Change Order Logs.
      • Coordinate and track communication with subcontractors.
      • Assist in management of subcontracts, change orders, RFI's, billings, revisions, close-outs & warranty letters from subcontractors.
      • Assist in Submittal process: compile, document, submit, follow up and log maintenance
      • Manage turn-around time on completed change orders and T&M change orders issued to clients.
      • Coordinate site furnishing submittals, procurement and delivery with purchasing and field.
      • Manage long lead time items: - follow up on submittals and purchase orders as needed
      • Assist in close out coordination - As builts, warranty letters, etc.
      • Publish minutes of project meetings.
      • Assist in project costs data entry.
      • Organize and maintain the job lead process.
      • Attend jobsite walkthroughs and pre-construction meetings.
      • Compute cost factors and prepare estimates used for management purposes such as planning, organizing, and scheduling work.
      • Assist in reviewing contract worksheets and budgets with cost and profit margins for projects.
      • Assist in conducting pre-construction meetings to inform the project team about project details and status.
      • Work with Purchasing Department to ensure site furnishing and specialty items are ordered and delivered in a timely manner.
      • Update and maintain change order and project management logs.
      • Other duties and special projects as assigned
